rental consultation outline

Rental consultation is a service we require.
This service provides you with a thorough consultation with our Rentals Consultant where you will work together throughout the planning process to outline everything you will need for food & beverage on your big day.

CONSULTATION breakdown:

  • UPON SIGNING WITH B+B FOR FOOD AND/OR BEVERAGE SERVICE, OUR RENTAL CONSULTANT WILL CONTACT YOU WITHIN 6 MONTHS OF THE BIG DAY TO BEGIN THE PLANNING PROCESS.

    • All clients are contacted based on the order of their contract signing & wedding date.

    • The Rental Consultant will provide a detailed form to fill out, outlining your preferences for standard furniture &

      service ware (ie. table & chair style, linen color, china, flatware, glassware) in order to create an initial rental order.

      *Please note that the Rental Consultant is not responsible for coordinating rental orders for specialty furniture and items, lighting, or design, but can make recommendations on vendors for the client to contact. Additionally, it is the responsibility of the client to coordinate and reserve the reception tent, as it is so property specific.

    • The Rental Consultant will include anything B+B needs in order to execute the menu you have selected at your wedding venue, based on the menu selections at the time of placing the initial rental order. This could potentially include a catering tent & lighting, prep tables, oven, fryer, grill, and any other necessary cooking equipment.

      *Please note that major shifts to the menu or style of service may result in changes to cooking equipment, staffing, or serving platters & utensil needs.

    • B+B has great relationships with a few local vendors (find links to them on “our friends” page), however, you are more than welcome to work with a vendor of your choosing. If the vendor you choose does not have inventory or availability of the items you require, B+B will work with you to supplement the necessary items from other vendors.

      *We recommend that clients research rental companies online, or make arrangements to visit rental showrooms when feasible, to get a better understanding of each of their inventories and pricing. Keep in mind, each vendor will apply delivery fees dependent on venue distance.

    • If you are working with a full-service planner, please let us know who we should connect with to coordinate our rental needs.

  • UPON FORM COMPLETION

    • The Rental Consultant will follow up with any questions they may have in regard to your rental choices. If anything

      imperative has been missed, the Rental Consultant will discuss these items with you further.

    • The Rental Consultant will work with the chefs at B+B and our management team to outline every rental need for food

      and beverage service. These items will be outlined for you in detail prior to the rental order reservation.

    • Upon all the initial details and preferences being worked through, B+B will place an initial reservation in your name.

      You, as our Client, will secure the reservation in your name, using your payment method. This allows you, our client,

      full transparency of the charges for rental items.

  • SITE VISIT TO VENUE

    • If B+B has not ever worked at your venue, a “Site-Visit” may be arranged (distance/schedule to be considered).

  • TWO WEEKS PRIOR TO THE EVENT:

    • The Rental Consultant at B+B will adjust all rentals to reflect the accurate rental count for the guests you are expecting.

    • B+B will adjust the rental order to account for a minimum 10% overage to accommodate breakage, loss, or miscount on behalf of the rental company.
